Time Change Requests
At First Step Therapies, we are committed to providing high-quality therapy services to all our
clients. We understand that sometimes, scheduling conflicts may arise, and clients may need
to request a change in their appointment time. To ensure that our services remain accessible
and efficient for all clients, we have established the following policy regarding appointment
time changes:
1. Initial Time Change Requests:
• Clients are allowed to request a change in their appointment time if the originally assigned time is no longer suitable for them.
• Each client is entitled to a minimum of two (2) time change requests during a single term or scheduling period.
2. Process for Requesting Time Changes:
• Clients must contact our administration department with their request for a new appointment time.
• Requests should be made as soon as the need arises to allow us to accommodate the change efficiently.
3. Allowance of Two Time Changes:
• Clients who have requested a time change will have their request accommodated up to two times within the same term.
• These two changes are designed to provide flexibility to our clients while maintaining the efficiency of our scheduling system.
4. Additional Time Change Requests:
• After utilising the initial two time changes, clients who require further changes to their appointment time to ensure attendance may make additional requests.
• However, further changes are subject to review and approval by our administration department.
5. Waiting for the New Term:
• If a client has already utilised the initial two time changes and subsequent requests cannot be accommodated within the current term's schedule, the client may be asked to wait until the start of the new term to provide updated availability. We will do our best to ensure that clients do not experience significant disruptions to their therapy services during this period.
6. Exceptional Circumstances:
• In exceptional cases, such as emergencies or unforeseen circumstances, we will consider additional time changes on a case-by-case basis.
7. Communication is Key:
• Effective communication between clients and our administration department is essential for smooth scheduling adjustments. We encourage clients to proactively inform us of any changes in their availability.
